When using Load Manager TMS, every load is assigned a unique Load Number for identification. However, there are times when you may need an additional reference number to simplify searching and tracking. This is where the Purchase Order (PO) number or a customer-specific identifier will be helpful. This feature allows you to use the PO Number field as a searchable reference, separate from the Load Number. This will enhance your flexibility and help you quickly locate specific loads based on the reference numbers most relevant to your operations.
Steps to Add a PO Number
Click on the specific load you want to assign a reference number to.
Scroll down the load details page to the area where the customer information is displayed.
Locate the PO Number field
Enter your desired reference number.
Click "Save" to update the load with this new information.
Searching for the PO Number
Standard Search
Where to Search: Use the search bar on the "All Loads" or "My Loads" screen.
How It Works: This search scans multiple fields, including Load Number, PO Number, Status, Customer, BOL Number, Carrier, City, State, Dispatcher, and Ship Date.
Things to Know: Because it searches across many fields, entering a number like "33161" might return results where that number appears anywhere—not just in the PO Number field. This can lead to more results than expected.
Advanced Search
Where to Access: Click "All Loads," then select "Advanced Search."
How It Works: This feature lets you narrow your search to specific fields, such as only the PO Number field.
Why Use It: It provides more precise results, ensuring you find exactly what you’re looking for without extra clutter.
Why Use a Searchable PO Number?
Adding a PO Number as a searchable reference offers practical benefits:
Custom Tracking: Use customer-provided numbers or project codes to align with external systems or documents.
Improved Organization: Group related loads under a single reference for easier management.
Faster Retrieval: Locate loads quickly using the identifiers that matter most to your workflow.
The ability to add a searchable PO Number in Load Manager TMS is a simple yet powerful tool for managing your loads more effectively. By following the steps above, you can assign a reference number and retrieve it with ease—whether through a broad standard search or the pinpoint accuracy of Advanced Search. This feature saves time and adapts to your unique tracking needs, making load management smoother and more efficient.
